JOB DESCRIPTION

The Solutions Architect – Information is responsible for identifying, implementing, and maintaining document management and requirement control systems for internal and external stakeholders. The incumbent will oversee, organize and manage information by implementing appropriate data storage, retrieval, archiving and security. The Solutions Architect – Information Management will work closely with stakeholders, including systems engineering, project managers, and end users, to ensure that all requirements are clearly defined through detailed process protocols and procedure documentation. Under the direction of WGD Leadership, the incumbent will utilize their technical knowledge and skills to coordinate information system architectures to achieve organizational objectives and client requirements. 

KEY RESPONSIBILITIES
Document Control Management Procedures:

  • Assess and evaluate document management and implementation structures to meet organizational/client needs
  • Establish and integrate formal document control process, procedures and protocols including but not limited to: classification, cross reference, retention, access and disposal protocols for information management systems
  • Develop document inventories and maintain indexes for classification systems
  • Operate information retrieval systems to research and extract records according to established guidelines in response to requests
  • Maintain document access lists for security classified records
  • Conduct quality audits and develop quality management and assurance standards
  • Analyze information systems processes, and propose customized solutions to improve performance and efficiency
  • Collaborate with stakeholders, business analysts, and technical teams to define project scope, objectives, deliverables, and timelines
  • Provide stakeholder guidance, training and support on established document control policies and procedures; ensuring standards compliance

Requirements Management:

  • Research, evaluate, and propose requirements management software tools (e.g., JIRA, Confluence, IBM DOORS, etc.) for organizational approval and adoption.
  • Integrate, test and implement requirements management software business solution.
  • Implement best practices for requirements management system strategy, policy, management, security and service delivery.
  • Ensure requirements management protocols meet high-quality standards and adhere to industry best practices.
  • Ensure traceability of requirements from inception through design, development, testing, and deployment.
  • Maintain comprehensive project documentation, including detailed document/requirements management process and procedures.
  • Conduct tests to ensure the reliability, accuracy, and functionality of system changes and enhancements
    Identify, communicate and implement information management efficiencies and opportunities to improve data storage, retrieval, archiving and security.
  • Coordinate with WGD Cybersecurity for compliance requirements.

GENERAL DUTIES

  • Coordinate with cross-functional project teams, including engineers, analysts, and other stakeholders to identify document control / requirements management objectives.
  • Provide training for internal and external stakeholders on document control and requirements management protocols.
  • Ongoing learning of industry trends and changes in technology to ensure that project delivery method is current and relevant to client needs.
  • Develop working knowledge of information system standards such as American Public Transportation Association (APTA), US National Institute of Standards and Technology (NIST), etc.
  • Other position relevant duties as assigned by WGD Leadership to support project operations.

QUALIFICATIONS:

  • Four plus (4+) years information system control experience including data storage, retrieval, archiving and security applications.
  • Two plus (2+) years requirements management, business analysis or similar experience.
  • Experience with requirements management software and functionality is an asset.
  • Rail and/or transportation industry experience is considered an asset.
  • Demonstrated ability to effectively problem-solve using critical thinking and contingency planning.
  • Professional command of the English language in technical writing both spoken and written in all communications and presentation settings.
  • Excellent attention to detail and the ability to translate complex technical information into easy-to-understand language.
  • Strong interpersonal skills and ability to foster collaborative working relationships with colleagues, stakeholders and clients.
  • Desire to take initiative and anticipate project requirements on a pro-active basis.
  • Sound knowledge of MS Office suite, including Word, PowerPoint, Excel, Visio.
  • Ability to work independently or collaboratively as required.

EDUCATION & CERTIFICATIONS:

  • Four (4+) year bachelor’s degree in computer science, information technology, engineering, business administration or combination of skills and experience.
  • Possession or in pursuit of P.Eng designation for Ontario. Other provincial designations considered an asset.
