JOB DESCRIPTION

The Coordinator, Project Management Office (PMO) role is responsible for assisting the PMO in the planning, execution and oversight of projects at varying stages of delivery.  The incumbent will support multiple Project Managers, Technical Leads and Subject Matter Experts (SME’s) in the efficient execution of project requirements that adhere to scope, budget, and scheduling parameters. Under the direction of the Director, Project Management  and WGD’s Executive Leadership, the incumbent will monitor, update, and action, plans, schedules, milestones, and deadlines based upon contractual requirements and project demands. 

KEY RESPONSIBILITIES

  • Assist in developing project plans, timelines, and schedules.
  • Monitor project progress and ensure tasks are completed according to the established timeline.
  • Act as a liaison between project teams, stakeholders, and clients to facilitate clear and effective communication.
  • Coordinate meetings, workshops, and discussions, ensuring relevant parties are informed and engaged.
  • Provide regular updates to project managers and team members on project status and milestones.
  • Maintain accurate and up-to-date project documentation, including project plans, reports, meeting minutes, and other relevant materials.
  • Assist in allocating and coordinating project resources, including personnel, materials, and equipment.
  • Monitor resource availability and utilization to ensure optimal project performance.
  • Identify and document potential risks and issues that could impact project success.
  • Support the development and implementation of risk mitigation strategies.
  • Assist in monitoring project expenses and budgets.
  • Track costs and expenditures and report any budget deviations to project management.
  • Generate regular progress reports, status updates, and performance metrics for project stakeholders.
  • Contribute to project post-mortem analyses to identify lessons learned and areas for improvement.

General duties to include:

  • Continuous review of project timelines related to systems integration, engineering, and cybersecurity (technical and non-technical).
  • Develop working knowledge of information system standards such as American Public Transportation Association (APTA), US National Institute of Standards and Technology (NIST), etc.
  • Other position relevant duties as assigned by WGD Leadership to support project operations.

QUALIFICATIONS:

  • 3+ years project coordination experience including planning, scheduling, and reporting of completed projects to clients.
    Excellent attention to detail and commitment to accuracy.
  • Ability to prioritize and re-evaluate activities to achieve project targets.
  • Demonstrated ability to effectively problem-solve using critical thinking and contingency planning.
  • Desire to take initiative and anticipate project requirements on a pro-active basis.
  • Customer-focused with a commitment to client satisfaction.
  • Strong interpersonal skills and ability to foster collaborative working relationships with colleagues, stakeholders and clients.
  • Ability to implement change management and conflict resolution techniques to accomplish project tasks.
  • Management of multiple projects and prioritize work to meet deadlines.
  • Sound knowledge of MS Office suite, including Word, PowerPoint, Excel, Visio.
  • Professional command of the English language in technical writing both spoken and written in all communications and presentation settings.
  • Ability to work independently or collaboratively as required.

EDUCATION & CERTIFICATION:

  • Four (4) year Bachelor’s degree in project management, business administration, commerce or equivalent discipline.
  • Possession or in pursuit of PMI/PMP certification in good standing.
  • Experience with Smartsheet is an asset.
  • Experience with Microsoft Project is an asset.
  • Experience with Continuum software is an asset.
